Your Privacy Matters

This policy explains what Ghostart Ltd ("Ghostart", "we", "us") collects, why, who processes it, and your rights. We've written it to be read, not skimmed past. The short version: we collect what the service needs to work, we don't sell your data, and the AI providers we use are not permitted to train their models on it.

1. Information We Collect

Information you provide

  • Account details: name, email, password (or LinkedIn sign-in)
  • Company details: company name, website URL, and the business facts you confirm during onboarding
  • Voice and expertise: your answers to voice-discovery exercises and the notes you save (your "Second Brain")
  • Content: drafts, published pieces, references and documents you upload
  • Connected accounts: tokens for platforms you choose to connect (LinkedIn, WordPress, Ghost, Google Search Console) — used only to provide those features

Information we generate or collect automatically

  • Content from the website you submit: we fetch and store excerpts of your pages (homepage, About, schema) to build your strategy and check your entity consistency
  • AI-visibility results: the responses AI tools give to questions about your topics, including which sources they cited and whether they mentioned your business — stored so you can see trends over time
  • AI-generated material: drafts, scores, strategy suggestions and insights built from your inputs
  • Usage data: pages visited, features used, device and approximate location (used for things like showing prices in your currency)
  • Billing records via Stripe — we never see or store your full card details

2. How We Use Your Information

  • To provide the service: build your strategy, draft content in your voice, score it, publish where you tell us to, and measure your AI visibility
  • To run your account: authentication, billing, support, service emails (including trial emails and team notifications such as join requests)
  • To improve Ghostart: aggregate, de-identified usage analysis
  • To meet legal obligations

Research and benchmarking: we publish research about AI visibility — for example, how often AI tools name businesses in a given industry. This uses anonymised, aggregated data only, including results from visibility checks (the free checks we run for waitlist members among them). No business, person or piece of content is identifiable in anything we publish, and results are always reported across groups, never about you. The full commitment is section 6 of the Terms.

We do not sell, trade or rent your personal information.

3. AI Processing — Who Sees What

  • Content generation: your inputs (voice profile, company facts, notes, instructions) are processed by our AI providers — primarily Anthropic, with OpenAI for some features — to generate your drafts and insights.
  • Visibility checks: we send questions about your topics and business to AI services operated by OpenAI, Anthropic, Google and Perplexity, and store their answers. These questions describe your business and topics; they do not include your account credentials or private notes.
  • Page reading: when we fetch a web page (yours, or a page an AI cited), the URL may be processed by a rendering service (Jina) so client-rendered sites return their real content.
  • No training on your data: we use these providers' business APIs, under terms that do not permit them to use your data to train their models.

4. Information About Other Businesses

Measuring AI visibility necessarily involves information about businesses that are not our customers: AI answers name competitors, cite third-party pages, and our public website checker analyses any URL entered into it. We process this publicly available information under our legitimate interest in providing the service.

If it's your business: you can verify your domain with Ghostart to control how your site appears in our public tools, including opting out of the public checker. Contact us at team@ghostart.iowith any concern and we'll deal with it promptly.

5. Teams: What Company Admins Can See

If you use Ghostart as part of a company workspace, it's important you know where the lines are:

  • Company admins can see the company workspace: its strategy, coverage results, your assigned topics, your drafts created for the company, and your publishing activity and progress (for example, whether you've completed your voice exercises).
  • Your voice-exercise answers and Second Brain notes are used to personalise your drafts and topics. Admins see the outputs (your topics, your drafts) rather than browsing your raw answers.
  • Your account itself belongs to you, not your employer. If you leave a company workspace, the content you created for the company stays with it; your account and personal data remain yours.

6. Who Processes Your Data

We share personal data only with processors who help us run the service, under contracts that protect it:

  • Supabase — database and authentication
  • Vercel — hosting
  • Stripe — payments
  • Anthropic, OpenAI, Google, Perplexity — AI generation and visibility checks (see section 3)
  • Jina — web-page rendering for the pages we fetch
  • Resend — transactional email
  • Google Analytics — usage analytics, only with your cookie consent

Beyond processors, we disclose personal data only where the law requires it, in a business transfer (with notice), or with your consent.

7. International Transfers

Some processors operate outside the UK/EEA (for example in the United States). Where data leaves the UK/EEA we rely on appropriate safeguards such as the UK International Data Transfer Agreement or EU Standard Contractual Clauses.

8. Security

Data is encrypted in transit and at rest, access is role-restricted (including row-level security in our database), and connected-platform tokens are stored securely and used only for the features you enabled. No system is perfectly secure; if a breach affects you, we'll notify you and the regulator as the law requires.

9. Retention

We keep your data while your account is active. If your trial ends without a subscription, we keep your workspace so you can pick up where you left off. If you close your account, we delete or anonymise your personal data within 30 days, except what we must keep for legal or accounting purposes. Company workspaces are retained while the company's account exists, since they belong to the company.

10. Your Rights

Under UK and EU data protection law you can: access your data, correct it, delete it, export it (portability), restrict or object to processing, and withdraw consent where processing is based on consent. Email team@ghostart.io and we'll respond within one month. You can also complain to the ICO (ico.org.uk) or your local supervisory authority.

11. Cookies

We use essential cookies to run the service (sign-in, security, your preferences such as currency) and analytics cookies only if you accept them in the cookie banner. You can change your choice at any time; declining analytics doesn't affect the service.

12. Children

Ghostart is a business tool and not intended for anyone under 18. We do not knowingly collect data from children.

13. Legal Basis for Processing (GDPR)

  • Contract: providing the service you signed up for (account, generation, publishing, visibility checks, billing)
  • Legitimate interests: service emails and team notifications, fraud prevention, improving the platform, and processing publicly available web content — including information about non-customer businesses (see section 4)
  • Consent: analytics cookies and marketing communications
  • Legal obligation: tax, accounting and lawful requests

14. Changes to This Policy

We'll update this policy as the platform evolves and tell you about material changes by email or in-app. The date at the top reflects the current version.
